This Privacy Policy explains how we collect, use, and protect your information when you visit notary-sites.com and use our hosted platform at dashboard.notary-sites.com. Your use of the Service is also governed by our Terms of Service.

2. Information We Collect

a. Client Account Information

When you create an account or sign up for our service, we collect:

• Name
• Email address
• Business name
• Billing information (processed by Stripe)

We may also store the last four digits of your card number for easy reference. Full payment details are never stored on our servers.

b. Website Hosting & Content

If we design or host your website, we store:

• Text, images, logos, and other files you provide
• Public website content served via AWS S3
• Contact form submissions (name, phone, message) if you enable a form on your site

Contact form emails are sent securely via Postmark and stored in our database for your access.

c. Analytics and Tracking

We use Fathom Analytics, a privacy-focused, cookie-free analytics tool, to understand how visitors use our marketing site. Our affiliate program tracking is handled server-side and does not use cookies.

d. Optional CRM or Email Marketing

We may use a CRM or email marketing service to manage client communications, send updates, and follow up with users who haven't completed signup.

3. How We Use Your Information

We use your information to:

• Provide, operate, and maintain your website and hosting
• Process payments and manage billing
• Communicate with you about your account, updates, or new features
• Improve our platform and services
• Ensure system security and compliance

We do not sell or rent your personal information to any third party.

4. Data Sharing

5. Cookies and Tracking

Notary Sites uses minimal cookies. Optional marketing cookies may be set by Meta (Facebook) for ad performance tracking, subject to your consent. Our affiliate program tracking is server-side only and does not set cookies. You can control or delete cookies through your browser settings at any time.

6. Access to Client Websites

Our team may occasionally access client websites for maintenance, troubleshooting, or feature updates. All access is limited to authorized personnel and logged internally when appropriate.

7. Contact Form Submissions

If your website includes a contact form built through our platform:

• The form sends data through Postmark to your chosen email address.
• The submission (name, phone, message) is stored in our database and viewable in your Notary Sites dashboard.
• You can delete these submissions at any time through your account.

8. Data Retention

We retain your account and website data for as long as your subscription remains active. When you cancel, your site and files are typically deleted within 60 days unless otherwise required for billing or legal purposes. Your Fathom Analytics data is deleted immediately when your subscription ends and cannot be retrieved.

9. Data Security

We take reasonable steps to protect your information using encryption, secure servers (Digital Ocean), and limited employee access. However, no online service can be 100% secure, so you use our services at your own risk.

10. International Visitors

Our services are designed primarily for U.S. businesses, but if you access our site from outside the U.S., your information will be processed and stored in the United States.

If you are located in the EU, UK, or California, you may have certain rights under GDPR or CCPA, such as requesting access or deletion of your personal data. To exercise these rights, contact support@notary-sites.com.

11. Your Choices

You can:

• Update your account information through your dashboard
• Opt out of marketing emails using the "unsubscribe" link in any email
• Disable cookies in your browser
